We also receive personal information indirectly, from the following sources in the following scenarios:

  • Job boards we subscribe too.

  • Calculate and process payment for work completed.
  • Asist in helping find employment

We may share this information with:

  • 3rd party employers for the reason of assisting in finding employment for said individual or legitimate interest.

Legitimate interest. The Legitimate Interest could be those of our client, the candidate or Gaia Newton Associates Limited.  

Your right to be forgotten. You are able to request you right to have your data removed at any time. You can do this by contacting: Accounts department – 0203-983-4480 or email at accounts@gnagroup.co.uk – Please title the email Right to be forgotten. 

We aim to deal with your request within one month of receipt of request. If we are unable to complete this in the timeframe given we will update you as to when this request will be completed.

How we store your personal information

Your information is securely stored on our cloud based platforms which are securely protected and safe guarded.

We keep any sensitive employment and banking information for a period of 6 months from last employment.  We will then dispose your information by via secure file shredder for digital information and document shedder for any hard copies we may be in possession of.

 

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information.
  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
  • Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

What to Include:

Please provide your full name, contact details, any specific information you are seeking, and a copy of your identification (e.g., passport or driving licence) to verify your identity.
 

Our Response Time:

We will acknowledge your request within three working days and aim to respond within one month. If the request is complex, this may be extended by two months, and we will notify you of the delay.

What You Will Receive:

You will receive a copy of your personal data and details about how we process it, including the purposes and recipients of your data.

Your Rights:

If you believe your information is inaccurate or incomplete, you can request rectification. You also have the right to request erasure of your personal data in certain circumstances.
 

No Charge:

Making a SAR is free of charge. However, if your request is excessive or repetitive, we may charge a reasonable fee or refuse the request.
